Privacy Notice
Understand what you share, how this website works and where to raise a privacy concern.
Last reviewed: 9 October 2026
Who this notice covers
This notice explains personal information handled through the Indibano Security and Cleaning Services website and initial service enquiries. It is intended to help you decide what to share and understand your choices under South Africa’s Protection of Personal Information Act (POPIA).
Our contact address is W 85, Malati Crescent, Site B, Khayelitsha, Cape Town, 7784. For a privacy question or request, email albert@indibano.co.za or call 065 888 2555. This website notice does not replace any separate information notice or agreement that applies to employees, suppliers or work at a client site.
What you share with us
When you request an assessment, the form asks for:
- Your name, preferred contact method and the email address or telephone number needed to reply.
- Your organisation, if relevant, the type of property, its general area and the services needed.
- Any further details you choose to include in your message, together with your acknowledgement of the privacy notice.
Fields marked with an asterisk are needed to process the form. Other fields are optional. You can choose to call or email instead. Without sufficient contact or site details, we may be unable to respond or assess the request.
Keep sensitive details out
Please do not submit alarm codes, passwords, access credentials, identity documents, banking details or detailed security vulnerabilities through the initial enquiry form. Share only information you are entitled to provide. If more sensitive operational details become necessary, first agree a suitable way to share them with our team.
Why information is needed
Enquiry details help us understand the work requested, check the location and service requirements, contact you and discuss the next step. They may also be needed to keep a record of the conversation or deal with a complaint. Responding to an enquiry is separate from subscribing you to marketing: this form does not register you for a newsletter.
Depending on the circumstances, processing may be based on your consent, steps requested before entering a contract, a legal obligation or a legitimate interest recognised by POPIA. We do not treat an enquiry as unrestricted permission to use your information for unrelated purposes.
How the website form works
The live website saves valid enquiries in a private website database and sends a notification to Indibano's designated enquiry recipient. Authorised team members can use the record to respond and track the enquiry. A submission reference confirms that the website saved the request; it does not confirm that an email reached the recipient or that a service has been booked.
The record includes your privacy acknowledgement, submission time, the source page and any campaign labels included with the request. Connection information helps limit repeated requests and protect the website. The form's rate limiter uses a one-way identifier derived from the connection address rather than adding the raw IP address to the enquiry record.
Storage and protection
The website enquiry database is configured to remove identifying details from records older than 90 days through a scheduled process. This can happen later if the scheduled process is delayed. The remaining record contains non-identifying service and enquiry-status information. Email copies, agreed service records and backups are handled separately; information may need to be kept where required by law or for an ongoing service, dispute or other lawful purpose.
Ask us about the records associated with your enquiry or request deletion where the law permits it. Removing a website record does not automatically remove an email or an earlier backup copy. Website access is restricted to authorised users and connections use HTTPS, but these measures do not remove every risk.
Avoid sending more information than the enquiry needs. No internet communication method can be guaranteed completely secure. If you believe information sent through this website has been exposed or misdirected, contact us promptly so the concern can be investigated.
Your privacy rights
Subject to POPIA and any applicable exceptions, you may:
- Ask whether personal information about you is held and request access to it.
- Request correction of inaccurate information or deletion where the law permits it.
- Object to processing in circumstances recognised by law, or withdraw consent where processing depends on it.
- Raise a complaint about how your information has been handled.
Send your request to albert@indibano.co.za, describing the information or enquiry concerned. We may need proportionate proof of identity before releasing or changing personal information. Withdrawing consent does not undo processing that was lawful before withdrawal, and some records may need to be retained where the law requires it.
Questions and complaints
You can raise a concern with Indibano using the contact details above. You also have the right to complain to the Information Regulator (South Africa), including by emailing POPIAComplaints@inforegulator.org.za. You do not need our permission to do so.
